SIRE and TRA software for Colombian accommodation: a practical comparison

For Colombian hotels, aparthotels and vacation-rental operators, guest reporting is a daily operating process. This guide compares integrated hospitality software, reporting specialists and the official portals, with attention to the work that remains after a guest fills in a form.

What it is

SIRE and TRA are separate Colombian reporting workflows. SIRE belongs to Migración Colombia and concerns foreigner reporting, including accommodation arrivals and departures. TRA is the accommodation registration card administered through MinCIT’s system and includes Colombian and foreign guests, with main guests and companions. An online check-in form can collect information for both, but collecting information is not the same as submitting it successfully. Useful software connects the booking, actual occupants, establishment identity, reporting event and returned result. A supplier may provide a native workflow, a partner connection or merely an export for someone to upload. Those are different operating models. Neither a booking-platform reservation nor a software subscription substitutes for the operator’s registrations, credentials, correct data and supervision.

Understand the market

Hospitality systems

Sixto and LobbyPMS place reporting near reservations and reception. Evaluate these when broader operational consolidation is part of the decision, and measure the work needed to migrate existing bookings and guest records.

Reporting and guest specialists

Chekin, Digitra and Hospy document Colombian reporting within guest workflows. They merit a closer look when the current PMS should stay. Connector scope, property mapping and exception ownership matter as much as the advertised automation.

Authority systems

SIRE and MinCIT’s TRA resources establish the direct reporting baseline. They also provide a useful reference when inspecting a commercial product, because a prepared record inside software is different from an authority’s recorded result.

What matters beyond a completed registration form

  1. Separate scope: demonstrate SIRE arrival and departure reporting separately from TRA, including Colombian guests and companions where applicable.
  2. Property identity: show how each establishment, RNT and authority account maps to the correct units, especially across several owners.
  3. Evidence: distinguish prepared, sent, accepted, rejected and uncertain results. Ask what staff can retrieve from the authority itself.
  4. Corrections: demonstrate a changed departure, a missing companion and an incorrect document without silently creating duplicate reports.
  5. Operational ownership: name the person who receives an alert, resolves it and covers weekends or staff absences.
  6. Data handling: inspect permissions, document access, retention terms and the export available when leaving the supplier.

We verified documented scope and connection requirements. We did not send guest data, test authority accounts or independently measure success rates. A documented integration still needs a property-specific demonstration.

Sixto: reporting alongside the stay

Best for: Operators consolidating hospitality work

Sixto is relevant when the reporting problem begins before submission: a guest has not completed registration, a companion is missing, or reception needs to know what remains to be approved. Its hospitality workflow connects reservations and guest information with SIRE and TRA preparation. The appeal is one operational context for the team rather than a separate list that must be reconciled to bookings. This is especially worth evaluating when an aparthotel or rental portfolio is also consolidating guest conversations and team tasks. Live filing depends on the organization’s configuration and activation prerequisites; preparation alone does not establish that a report reached an authority.

Ask to see the exact reporting mode for your property, the credentials needed and the evidence retained after submission. Demonstrate an incomplete registration and a rejected or uncertain result. Sixto publishes this comparison, so the first position is a disclosed product introduction, not an independently awarded distinction. [4]

LobbyPMS: reporting from reception events

Best for: Hotels with a reception-led workflow

LobbyPMS documents Colombian reporting inside its hotel PMS. Its product page describes SIRE reporting when reception checks guests in and out, and TRA transmission at checkout. SIAT Connect documentation also covers multiple properties. This makes it a useful candidate for hotels whose reception team already controls those events and wants the reporting step to follow the same operating sequence. The practical evaluation is whether your staff’s real check-in and checkout habits match the triggers configured in the system. A receptionist closing a booking late is an operational issue that a connection alone does not solve.

Request a walkthrough of SIRE Connect and SIAT Connect for each property and confirm the current commercial plan. LobbyPMS explicitly reminds hotels to verify that records were sent. Review what happens when reception edits a guest after check-in and how an unsuccessful submission becomes a visible task. [5] [6] [7]

Chekin: a reporting layer around online check-in

Best for: Teams keeping their existing PMS

Chekin has a dedicated Colombian offering covering TRA and SIRE, with online guest registration feeding the reporting process. Its help center separately explains how to connect an operator’s SIRE credentials. It deserves consideration when the existing PMS works well and the missing piece is guest registration and authority reporting. In that situation, replacing the entire reservation system may add unnecessary migration work. Treat the PMS connection and the authority connections as separate parts of the purchase: the former supplies booking context, while the latter must deliver complete guest information to the appropriate destination.

Confirm your precise PMS connection, property mapping and commercial entitlement. Ask for separate evidence of SIRE and TRA submissions, not just a completed check-in indicator. We did not verify the supplier’s broad deadline or compliance guarantees and do not use them as a substitute for official guidance. Its TRA setup article is still titled BETA, so confirm current availability and correction handling for your account. [8] [9] [10]

Digitra Rentals: a Colombia-focused specialist

Best for: Colombian hosts seeking specialist reporting

Digitra presents TRA and SIRE automation for Colombian accommodation and describes connections to reservation sources including Airbnb, Booking, Octorate and Cloudbeds. Its relevance is a focused reporting purchase for an operator who wants guest data and reporting connected without necessarily selecting a general hotel PMS. The buying question is how a reservation becomes a complete record for every person actually staying. For a dispersed rental portfolio, also inspect which establishment owns each submission. A booking import that looks correct at portfolio level can still require careful unit and authority-account mapping before it is ready for reporting.

Confirm the exact connector, included reporting scope and handling of changes after registration. Ask to export historical results and inspect a failed submission. Do not treat marketing statements about avoiding sanctions, protecting an RNT or legal authorization documents as independent legal conclusions. These require separate assessment. [11]

Hospy: reporting within guest automation

Best for: Rental operators adding guest automation

Hospy explicitly lists Colombian TRA and SIRE reporting in its product demonstrations. Stays also documents a Hospy integration that includes those workflows and limits synchronization to listings registered in Stays. This is a concrete reason to include Hospy when an operator wants to retain an existing rental-management system and add guest automation. Begin with the exact product and connector being offered, since a supplier’s broader automation story does not establish which reporting steps are enabled in your account. For a portfolio, demonstrate a synchronized listing and one outside the connected system before deciding how exceptions will be managed.

The public documentation establishes the advertised reporting scope, not a tested service level. Confirm the current product package, credential requirements and operational support. For Stays users, check listing coverage explicitly. Require a demonstration of failed reporting and the staff action needed to resolve it. The current homepage also advertises a limited-access Airbnb-focused version; confirm which product and previously documented partner connections are available to your account. [12] [13] [14]

Official SIRE and TRA portals: the operating baseline

Best for: Small operations and independent verification

The official systems provide the baseline against which any commercial workflow should be checked. SIRE is operated by Migración Colombia; MinCIT provides TRA guidance and access routes according to the operator’s technical situation. Official TRA guidance distinguishes PMS-connected providers, connected direct users and users without permanent connectivity. For a small operation, direct reporting may be a reasonable process if someone owns the work and checks it consistently. Even when buying software, understanding the official account and record helps staff distinguish a vendor dashboard status from what the authority actually received.

Evaluate the staff time needed to collect data, enter records and reconcile arrivals and departures. Maintain authorized access and an agreed fallback process. Do not send the same record through two systems merely to feel safer; first establish whether it was already accepted and how corrections should be handled. [2] [3] [15]

Choose around the operation you already have

These examples are illustrative buying situations, not customer case studies. The deciding factor is where reliable guest data already lives and who will resolve exceptions.

An aparthotel is consolidating operations

Reservations, guest messages and reporting are spread across several tools.

Start by evaluating Sixto as an integrated workflow, alongside a hotel PMS such as LobbyPMS. Bring a complete stay to the demonstration, including a missing companion, a changed departure and a report that needs attention. The useful comparison is how many handoffs remain between the person collecting information and the person responsible for filing. Select the system only after establishing which actions are live for the property and which need setup. Avoid a migration that merely moves the same manual reconciliation into a new screen.

  • Trace one stay through both systems
  • Show the missing-companion queue
  • Confirm property-specific live activation

The existing PMS is working well

The reservation system is established, but staff still chase guest information and retype reports.

A specialist such as Chekin, Digitra or Hospy may fit better than replacing the PMS. Begin with the connector available for your exact system and account. Demonstrate what is imported automatically, what the guest must supply and what happens when a reservation changes. Then inspect the SIRE and TRA results independently. The strongest proposal will explain the boundary between the two vendors, including who investigates a booking that arrived in one system but did not create the expected reporting task.

  • Verify the exact PMS connector
  • Change dates after registration
  • Identify the owner of integration failures

A small property has manageable volume

One person currently owns registration and has time to reconcile records.

Start with the official portals and a disciplined operating checklist as the baseline. Compare the cost of that work with a specialist subscription, including the time spent chasing missing information and resolving mistakes. The decision is not simply whether software can submit a form. It is whether the new process reliably improves coverage and makes exceptions easier to see. If volume grows or another person takes over reception, repeat the comparison with the actual handoff and workload rather than assuming the old process still fits.

  • Reconcile every actual occupant
  • Test access for a backup staff member
  • Compare total staff time with a quoted plan

Roll out without losing reporting ownership

  1. Map establishments and accounts

List every establishment, its units, reporting accounts and responsible staff. Confirm access to the registered email and keep the property identity consistent across systems. Resolve ambiguous ownership before importing records. A shared portfolio dashboard should not obscure which establishment is responsible for a particular guest or which credentials are used to submit the report.

  2. Prove the complete guest record

Use a demonstration with the main guest, companions, Colombian and foreign occupants, and changed dates. Check what the guest enters, what the reservation supplies and what staff must validate. Require a visible incomplete-data state. Do not accept a polished form as proof that all downstream reporting fields are populated correctly.

  3. Verify results and exceptions

Agree how to identify accepted, rejected and uncertain submissions and who can resolve each. Compare a controlled sample with the authority’s records through authorized access. Set one primary filing process so overlapping tools do not create duplicates. Document the fallback and the decision to use it before an outage creates pressure at reception.

  4. Transfer responsibility to daily operations

Train the person responsible and a backup on the exception queue, credential changes and evidence retrieval. Review actual arrivals, departures and occupants against reported records during the first operating period. Keep an export of relevant history when retiring an old supplier, and confirm that its scheduled submissions are stopped at the agreed handover.

Compare the cost of a complete reporting process

Ask for a written quote tied to the number of establishments, units, integrations and people who need access. Clarify whether SIRE and TRA are both included, whether a reporting module requires a higher PMS plan, and whether onboarding or historical exports have separate charges. A low headline subscription is not comparable with a package that includes broader hospitality operations.

Include the labor that remains: collecting missing information, checking authority results, correcting records and supporting guests. Also budget for migration and training when changing the PMS. We do not publish a price ranking because package scope and commercial terms differ; use the same representative portfolio and workflow when requesting proposals.

Questions

Are SIRE and TRA the same obligation?

No. They are separate systems with different authorities and scope. Migración Colombia uses SIRE for foreigner reporting, while MinCIT’s TRA records accommodation guests, including Colombian and foreign visitors. Buy and test them as two workflows. A supplier showing one successful report has not demonstrated that the other was completed.

Does a Colombian guest need the same workflow as a foreign guest?

Do not build one undifferentiated reporting rule. TRA covers national and foreign guests, including companions. SIRE accommodation reporting concerns foreign guests. Ask the supplier to demonstrate both cases and check the current authority guidance for your operating situation. Nationality, document details and the actual stay must be handled accurately.

Will automatic reporting make the property compliant?

A connection can reduce manual work, but it cannot establish every aspect of legal compliance. The operator still needs accurate guest information, correct establishment setup and a person responsible for unresolved reports. Evaluate evidence and exception handling rather than treating an automation claim as certification or an assurance that sanctions cannot occur.

Must we replace our PMS?

Not necessarily. Chekin, Digitra and Hospy document specialist workflows, while Sixto and LobbyPMS place reporting inside broader hospitality operations. First establish whether your current PMS has a suitable documented connection. Replacing it makes more sense when other operating problems also justify the migration, not simply because a reporting task is inconvenient.

What should happen when submission status is unclear?

Staff should establish whether the authority received the record before resubmitting. Ask the supplier how it distinguishes a rejection from a timeout or an uncertain response, what evidence is available and who can resolve the case. Your agreed fallback should avoid duplicate submissions and preserve a clear record of the decision.

Which deadlines should we configure?

Use current guidance from Migración Colombia and MinCIT for your reporting situation, then verify the supplier’s triggers against it. This comparison does not certify a universal filing hour. A marketing page’s promise and a PMS checkout trigger are not substitutes for determining the applicable requirement and assigning someone to monitor it.
