Hospitality software in Mexico: a guide for hotels and rental operators

A boutique hotel in Oaxaca, an apartment operator in Mexico City and a Caribbean resort need different systems. This guide compares hotel operations, managed rentals and Mexican invoicing. Sixto currently supports organization setup in Colombia only: Mexico and MXN are unavailable. Its inclusion is an evaluation of future operational fit, not an offer of immediate activation.

What it is

A hospitality PMS is the operational record of inventory, reservations and stays. That sounds simple until a property sells both room types and individually owned apartments, takes deposits in one currency, receives channel payouts in another and needs different people to approve refunds. Mexican buyers should separate three decisions: how the business runs, how guests book and pay, and how fiscal documents are issued. A booking confirmation, guest folio or owner statement is not interchangeable with a CFDI. Likewise, a vendor serving customers in Mexico has not necessarily included every local interface in your quote. This shortlist covers hotels, aparthotels and professionally managed rentals. It is representative rather than exhaustive; the useful boundary is your operating model and the dependencies needed to run it.

Understand the market

Coordinated daily operations

Sixto leads our operational evaluation for the links between reservations, conversations and team work. Its Mexican onboarding must be confirmed separately; this grouping is a product-fit lens, not a claim of current self-service availability.

Hotel and group infrastructure

Cloudbeds, TCA Innsist, Front2Go and Front16 address hotel operating models with different regional and departmental emphases. Compare the actual fiscal service, implementation scope and group controls proposed for your property.

Rental portfolios and direct sales

Guesty, Hostaway and Lodgify are useful comparisons for managed homes and rental brands. Owner relationships, delegated tasks and direct-booking presentation deserve different weights depending on how the business earns revenue.

Six checks that matter in Mexico

  1. Inventory model: prove room-type allocation for hotels, named apartments for rentals, and restrictions for units taken out of service.
  2. Fiscal boundary: identify the actual Mexican invoicing service, required issuer setup, supported documents and handling of rejected or corrected records.
  3. Money movement: distinguish display currency, guest charge currency, settlement currency, channel-collected payments and the legal entity receiving funds.
  4. People and permissions: follow a guest request to the responsible receptionist, cleaner or manager without exposing unrelated properties or financial records.
  5. Commercial model: separate hotel departments and group accounts from owner commissions, expense allocation and rental statements.
  6. Operational support: require a migration owner, Spanish-language support arrangements, escalation hours and usable exports if the contract ends.

Capabilities below are documented vendor claims, not our certification of performance or tax compliance. Missing public detail is a question for the vendor, not proof that a feature is absent. Confirm fiscal treatment with the adviser responsible for your Mexican entity.

Sixto: evaluate a shared operating workspace

Best for: Teams evaluating coordinated guest and field operations

Sixto brings reservations, guest conversations and team tasks into a shared operating context. Its useful starting point is the handoff between people: a changed departure, a guest question and the work needed to prepare the unit should not become three unrelated conversations. For an aparthotel or rental team, test that chain with reception, guest service and cleaning involved. Sixto also has configured channel and smart-lock workflows, but each required connection and device needs its own compatibility check. Treat this as an evaluation of the operational approach, not proof that every Mexican property can already be activated.

Mexico is not currently a self-service signup country. Agree eligibility and implementation scope with the Sixto team before budgeting a migration. We have not established shipped native CFDI/SAT support or Mexican payment settlement. The Colombian SIRE, TRA and DIAN workflows do not satisfy Mexican requirements. [3]

Cloudbeds: hotel operations with a documented Mexican invoicing route

Best for: Independent hotels wanting an integrated PMS and fiscal route

Cloudbeds is a useful hotel-oriented comparison because its current documentation names eFactura SAT by Cloudbeds for Mexico and also lists Mexican invoicing partners. Its fiscal-document documentation includes Mexico in the core-service model. That is stronger evidence than a generic invoice button, but it still leaves account-level questions. Ask the team to show which service your property would actually receive and how the front desk identifies an unfinished fiscal task. Start with a normal stay, then include a company payer and a correction after departure.

Do not confuse the existing Mexican service with the separate two-step invoice-creation pilot, whose documentation lists Mexico as forthcoming. Get activation, supported document types, cancellation handling, certificate responsibilities and charges in writing for the proposed setup. A marketplace listing does not automatically mean that every account has the same workflow. [4]

TCA Innsist: a fuller hotel and resort operating environment

Best for: Hotels and resorts with departmental complexity

Innsist documents hotel and resort workflows spanning reservations, guest folios, audit and housekeeping, with interfaces for fiscal certification. It deserves a place on a Mexican hotel shortlist when the operation includes several departments rather than apartments alone. The practical evaluation is a busy operating day: a group arrives, a room changes, an ancillary charge is posted and a supervisor reviews the close. Ask departments to follow the same transaction instead of watching separate demonstrations that never reconcile.

Specify the modules, hosting arrangement and interfaces in the quote. The reviewed product page describes fiscal interfaces but does not establish the exact Mexican provider and configuration for your property. Demonstrate the required CFDI lifecycle rather than treating regional coverage as a complete answer. Keep migration and training ownership visible. [5]

Front2Go: central control for a hotel group

Best for: Hotel groups standardizing several properties

Front2Go positions its web PMS around multi-property hotel groups in Latin America, with central reservations and consolidated reporting. Its Mexican customer context makes it a relevant regional option when the challenge is coordinating hotels rather than building a rental brand from scratch. Evaluate how a group user moves between properties, how corporate standards are applied and how individual hotel managers retain the permissions they need. Bring a group reservation and an inter-property change to the demonstration.

Ask for the precise Mexican invoicing arrangement and current integrations rather than inferring them from local presence. Treat published implementation and response-time claims as inputs to a signed scope and service agreement, not guarantees for your own migration. Confirm data exports, project dependencies and who resolves an incident involving another supplier. [6]

Front16: a Mexican hotel workflow with explicit CFDI claims

Best for: Hotels prioritizing reception and Mexican invoicing

Front16, from Insist de México, publishes reservations, reception, night audit and CFDI 4.0 issuance. Its Front16 Connect offering adds distribution and direct-booking capabilities. This makes it a distinct local hotel option, especially when reception and the fiscal close dominate the buying decision. It is not TCA Innsist, despite the similar name. Ask staff to complete an arrival, move a room and correct a charge in one session so the practical workflow receives as much attention as the feature list.

The vendor explicitly documents CFDI, but buyers should still identify certification arrangements, document types, certificate renewal ownership and rejected-document recovery. Confirm exact channel connectivity and the package being sold. Avoid converting marketing claims about instant setup or absence of overbooking into contractual assumptions without testing the relevant failure cases. [7]

Guesty: managed rentals with owner relationships at the center

Best for: Professional managers reporting to multiple owners

Guesty has a Mexico-specific product page describing rental distribution, communication, owner management and financial reporting. Its accounting product adds documented owner-statement workflows. That makes it relevant when the business manages homes for others and must explain every deduction, not simply report hotel occupancy. Use a representative owner agreement to test a cancellation, a repair expense and an owner stay. The useful output is a statement that both the manager and owner can understand.

Guest invoices and owner statements are different from Mexican fiscal documents. The reviewed invoicing page does not establish a complete CFDI route. Confirm the Mexican arrangement, payment eligibility and included accounting modules separately. A strong owner portal should not hide an unresolved tax-document or settlement dependency. [8]

Hostaway: rental workflows and controlled owner visibility

Best for: Growing rental managers coordinating owners and staff

Hostaway documents rental channel management and guest operations, together with an owner portal. Consider it when the portfolio is expanding across buildings and the manager needs to delegate without losing visibility. A useful demonstration involves an operations user and an owner looking at the same property with different permissions. Change a reservation, assign the follow-up work and inspect how the information reaches each person. This reveals more than comparing the number of integrations on a marketplace page.

Verify Mexican invoicing and payment arrangements explicitly; a global platform and configurable taxes do not establish local fiscal issuance. Ask which portal, automation and reporting capabilities are included in the offer. Test a disconnected integration, a duplicate update and export of the records your accountant needs before approving the migration. [9]

Lodgify: a direct-booking website for a rental business

Best for: Rental brands investing in direct booking

Lodgify combines a rental website builder with a booking engine and channel management. Its clearest evaluation path is a business that wants its own booking storefront alongside the marketplaces. Judge the journey from a property page to a confirmed stay, then through cancellation and refund. Ask whether the team can maintain Spanish and international guest-facing information without creating inconsistent policies. A direct website is commercially useful only when availability, price and the operational response remain coherent.

Confirm processor eligibility for the Mexican entity, charge and settlement currencies, fees and refund handling. Mexican CFDI issuance needs its own verified solution. A website project should also have an owner for content and acquisition; adding a booking engine alone does not create demand or replace the work behind each stay. [10]

Build the shortlist around your business

These illustrative situations show why a single ranking is less useful than a clearly defined purchase.

A city aparthotel with a small operations team

Reception answers guests while cleaners and maintenance staff move between units.

Start by evaluating Sixto’s shared reservation, conversation and task approach, with Mexican eligibility confirmed first. Compare Cloudbeds or Front16 if a ready-to-demonstrate local fiscal route is a purchase requirement. Use a late checkout that changes the cleaning plan and a company guest who needs billing details corrected. The strongest candidate should show who owns each next step. If Sixto onboarding or required fiscal dependencies are not confirmed, keep an established Mexican solution on the shortlist rather than planning around a future capability.

  • Follow a changed departure into the cleaning workflow.
  • Correct billing information without losing the stay history.
  • Record the named supplier for each required Mexican dependency.

A hotel group with several departments

Central reservations, property managers and finance need different views of the same business.

Compare TCA Innsist and Front2Go with the hotel configuration offered by Cloudbeds. Define the group controls that matter before comparing screens: property permissions, rate ownership, departmental charges and the consolidated close. Ask each supplier to demonstrate an exception that crosses a department or property boundary. The central team should retain oversight without giving every hotel unrestricted access. Require a migration rehearsal and a clear explanation of what remains in the previous system after cutover.

  • Move a group booking while retaining the correct charges.
  • Restrict a property manager to assigned locations.
  • Reconcile the daily close to the group report.

A rental manager growing a direct-booking brand

The business manages homes for owners and wants repeat guests to book directly.

Compare Guesty and Hostaway for owner relationships and delegated operations, then assess Lodgify if the website is a central buying priority. Evaluate Sixto’s operational approach only after confirming Mexican onboarding and the exact owner-finance requirements. Use one management agreement across the demonstrations. A channel cancellation, a repair deduction and a direct refund should produce understandable records. Treat the website, owner statement and CFDI workflow as separate outputs that must reconcile, rather than assuming one polished dashboard proves all three.

  • Prepare an owner statement with a refund and expense.
  • Book and cancel through the direct website.
  • Identify the issuer and fiscal-document process.

Define local requirements and rollout readiness before choosing a platform.

Move in four controlled stages

  1. Define the operating and fiscal boundary

List properties, legal entities, channels, owners, currencies and the people responsible for fiscal documents. Record the exact interfaces required and separate confirmed capabilities from promised work. For Sixto, settle Mexican eligibility before treating it as an implementation project. Ask the accountant and operations lead to approve the same scope.

  2. Rehearse a representative stay

Use test data to follow a reservation through payment, arrival, a room change, departure and the required fiscal document. Include a rejection or correction. Confirm who sees the failure and how it is resolved without double charging, duplicating an invoice or losing the original reservation context.

  3. Reconcile before opening distribution

Check future reservations, deposits, balances, restrictions and room mapping against the original records. Choose who controls availability during the transition so two systems do not publish conflicting inventory. Keep a documented fallback and retain access to historical documents. Do not set the launch date from a marketing promise alone.

  4. Review the first operational and financial close

Have reception, operations and finance review the first close together. Compare channel totals, guest payments, owner allocations where applicable and fiscal-document status. Resolve discrepancies before expanding to more properties. Keep an issue owner and a decision log so repeated exceptions become training or configuration improvements, not recurring manual work.

Compare the total operating cost

Request a quote for the same property inventory, users, channels, fiscal service and support scope. Separate recurring software fees from implementation, migration, training, website work, payment processing, fiscal-document charges and optional lock or messaging services. Confirm billing currency, taxes, minimum commitments and how charges change when a unit is added or removed. We do not publish a blended starting price because these offers do not necessarily include the same work.

Model a normal month and a difficult one with cancellations, refunds and a connection incident. Ask which costs depend on bookings, documents or transactions, and whether a payment-processing commitment affects the commercial terms. Include the time your staff will spend reconciling exceptions and maintaining integrations. Get data export, termination assistance and historical-document access in the contract before signing.

Questions

Which option should a Mexican aparthotel evaluate first?

Begin with the operating bottleneck. Sixto is our first operational comparison for shared guest and team workflows, but Mexican onboarding must be confirmed. If local fiscal activation is an immediate requirement, include a vendor with a documented Mexican route, such as Cloudbeds or Front16, and demonstrate the exact account configuration before choosing.

Does Sixto already provide Mexican CFDI or SAT reporting?

This guide does not establish native Mexican CFDI issuance or SAT reporting in Sixto. Mexico is not currently a self-service signup country. Ask the team about eligibility and the proposed operating scope. Colombian SIRE, TRA and DIAN workflows are jurisdiction-specific and must not be presented as Mexican equivalents.

Is an invoice button enough to prove CFDI support?

No. Ask which service issues the fiscal document, what issuer setup is needed and how rejection, cancellation and correction are handled. SAT provides official invoicing resources and a certification-provider directory. A guest-facing payment summary or owner statement can be useful without being the fiscal document your Mexican business needs.

Should a vacation rental manager buy a hotel PMS?

Only if its inventory, permissions and financial model fit. A hotel often sells room types and coordinates departments; a rental manager may need named units, different owner agreements and expense allocation. Some platforms span these models, but a shared category label does not prove the necessary owner-statement or group-account workflow.

Can one platform handle Mexico and Colombia?

Evaluate each country separately. A common reservations workspace does not unify tax regimes, fiscal documents, processor eligibility or reporting obligations. Keep legal entities and access boundaries clear. Ask for a country-by-country statement of supported services and test a stay in each configuration rather than relying on a general Latin America claim.

What should Brazilian operators check before expanding into Mexico?

A Portuguese interface is helpful, but Mexican operations still need appropriate local onboarding, support and fiscal arrangements. Confirm how the team serves Spanish-speaking guests, which entity collects funds and how records reach the Mexican accountant. Do not assume Brazilian payment or invoicing arrangements transfer with the same software subscription.
