What it means
An electronic sales invoice supports sales of goods or services and is handled electronically, including validation. DIAN explains that it retains legal validity as an invoice. A booking confirmation, processor receipt or separately generated PDF does not by itself establish valid issuance.
Why it matters
Operations needs to connect what was sold, collected and invoiced without confusing them. States matter: preparing a draft, submitting it, receiving a response and delivering it to the recipient are separate steps. A successful payment does not establish that all those steps finished.
An example in practice
A guest pays for a stay and requests an invoice. The team verifies the applicable information and charges and processes issuance. If the provider returns a rejection, the payment remains recorded but the invoice needs attention. Sending the payment receipt again does not resolve the fiscal rejection.
A mistake to avoid
Retrying without checking the previous outcome can create duplicates. Before correcting or issuing again, check status, identifiers and the appropriate procedure. Do not infer tax treatment solely from the booking channel or guest nationality.
Put it into practice
- Verify recipient information and charges before issuance.
- Retain identifiers, validation response and delivery evidence.
- Escalate rejections and corrections to the person responsible for tax compliance.
A common question
Does an invoice prove the bank received the money?
No. Invoicing and movement of funds are different processes. Use the invoicing guide for the document and reconciliation to verify collections and transfers. Tax decisions require reviewing the specific case.
